Purpose & Overall Relevance for the Organization:
- Provide high-level administrative support to Japan HR Vice President and Japan Finance Vice President, ensuring efficient day-to-day management of their functions.
Key Responsibilities:
- Schedule internal and external meetings, including coordinating with interpreters when necessary.
- Organize business trips for Japan HR Vice President and Japan Finance Vice President, arranging flights, hotels, visas, cars, and airport pickups.
- Manage and process invoices and payments.
- Welcome visitors to our office, arranging registration, creating guest Wi-Fi accounts, and escorting them to meeting venues.
- Support Japan HR Vice President and Japan Finance Vice President in reimbursement processes through Concur, Timecard system, and Invoice Payment (ARIBA, APWF) flows.
- Translate Japanese documents into English or vice versa for Japan HR Vice President and Japan Finance Vice President.
- Handle routine correspondence, ensuring timely and accurate responses.
- Create various materials, including presentations, announcements, correspondence, memos, minutes, reports, and confidential documents.
- Maintain and update department files and records.
- Assist in projects and assignments as requested, including collecting and coordinating HR organizational data for quarterly People Dashboard development.
- Draft employee communications on behalf of Japan HR Vice President.
Knowledge, Skills, and Experience:
- Minimum 5 years of assistant experience.
- Experience and understanding of compiling and managing highly confidential information.
- Able to work effectively within a team environment.
- Logical communication skills.
- Strong organizational skills.
- High sense of responsibility to ensure target achievement.
- Advanced knowledge of Microsoft Office, particularly Excel, PowerPoint, Word, and Outlook.
Requisite Education and Experience / Minimum Qualifications:
- University degree or equivalent experience.
- English: Fluent.
- Japanese: Fluent.

Estimated Salary: $60,000 - $80,000 per year, depending on location and experience.
