Office Manager (6-Month Contract)

Principal Duties

  • Maintain office suppliers and equipment
  • Arrange monthly lunch
  • Assist with administrative work related to the office renovations
  • Help coordinate office maintenance work/inspections conducted by building management and attend seminars related to disaster prevention management
  • Manage office lease related activities
  • Maintain disaster stockpiles
  • Renew office premises related insurance
  • Manage office keys (pedestals, cabinets, & conf. rooms etc)
  • Register/Activate/Deactivate IC cards
  • Arrange collection of confidential documents & industrial wastes
  • Backup of reception duties
  • Be the first point of contact for employees regarding office related matters and ensure CEO – Japan and Head of International Corporate Services are informed of any issues raised
  • Liaise with and handle any direct inquiries related to corporate services from external vendors and internal departments.
  • Facilitate the signing of corporate services related agreements and documents, and ensure a scanned copy is sent to Head of International Corporate Services and Legal Department, and the original copy is kept in the local Corporate Services file
  • Work with BCM Program Manager to educate employees regards to BCP and disaster prevention plan
  • Ad-hoc general Corporate Services and Real Estate related projects
  • Qualifications/Skills Required

  • Candidates must have a minimum junior college education
  • Fluent English
  • Strong Excel skills and overall computer skills required.
  • Quick learner, Detail oriented; Demonstrable thoroughness and strong ownership of work.
  • Good team player with a strong willingness to participate and help others.
  • Able to prioritize in a fast moving, high pressure, constantly changing environment; High sense of urgency
  • Strong communication skills.
  • Friendly and cooperative personality
