Williams Lea seeks a Office Services Associate to join our team

オフィスサービスアソシエイトは、日々のオフィス運営を円滑にし、社内外のお客様に質の高いサポートを提供します。

The Office Services Associate will provide a wide range of administrative and operational support within a professional office environment, ensuring smooth day-to-day operations and excellent service delivery to internal and external clients.

Key responsibilities

・印刷・製本:
メールや文書の印刷、文書のコピー・スキャン・製本、書籍・雑誌のスキャン・コピー

・メール:
郵便物や国内・海外宅配便・バイク便の受領・発送、仕分け、担当者へのお届け

・経費精算サポート:
食事代、タクシー、出張費、など。

・名刺入力:
弁護士が頂戴した名刺内容を専用システムへ入力

・カフェ:
所内ミニキッチン&パントリーの飲料やコーヒー豆の補充、食器洗浄

・在庫管理:
文房具類、製本資材、コピー用紙、キッチン用品

・請求書処理:
各種サプライヤー請求書を担当チームへPDF転送、および、顧客へ費用請求する案件の請求内容を担当チームへ連絡

・ファシリティサポート:
Internal用会議室の整頓、External用会議室のレイアウト変更サポート

・その他:
定期訪問業者来館時の立ち合い、名刺注文(増刷のみリクエストベース)

・Printing and binding:
printing and copying documents, scanning, binding, and reproducing books or magazines.
・Mail handling:
receiving, sorting, and distributing domestic and international mail, courier, and bike deliveries.
・Expense support:
assisting with expense reimbursements such as meals, taxis, and business travel.
・Business card entry:
inputting business card information into the firm's dedicated system.
・Café & pantry:
replenishing drinks and coffee beans, and managing dishwashing in the internal pantry area.
・Inventory management:
maintaining stock levels for stationery, binding materials, copy paper, and kitchen supplies.
・Invoice processing:
forwarding supplier invoices as PDFs to the responsible team and sharing billing details for client-related charges.
・Facility support:
organizing internal meeting rooms and assisting with layout changes for external meeting rooms.
・Vendor coordination:
accompanying regular maintenance vendors during site visits and managing reorders for business cards.

Skills and Experience
・流暢な日本語とビジネス英語(Eメールの内容理解・返信、簡単な会話。日本語を解読しない方や海外からのビジターも来るので、頻度は少ないものの依頼内容を理解して対応する必要があります)
・PCスキル(Eメール対応。エクセル入力。)
・チームメンバーやクライアント・ユーザーとのコミュニケーション力
・業務の正確性
・誠実にお仕事ができること


Required:


Japanese and English proficiency (able to understand and reply to emails, and handle simple conversations with visitors or colleagues who do not speak Japanese).

PC literacy (email correspondence, Excel data entry).
Accuracy and integrity in completing work.

Preferred:
Administrative or clerical experience.
Customer service or hospitality experience.
