What You Can Expect
Seeking a detail-oriented, bilingual (Japanese/English) Executive Assistant for our Head of Japan in Tokyo. You'll provide comprehensive support managing confidential matters, maintaining stakeholder communications, and handling various projects. Your role will help the executive focus on strategic priorities through effective schedule management and communication coordination. This position may expand to support additional Japan Leadership Team members as we grow.
About The Team
We partner with regional and global teams to drive growth and alignment. You'll work directly with the Head of Japan, managing information flow and ensuring smooth execution.

Responsibilities
- Managing and maintaining calendars, including scheduling meetings, appointments, and travel arrangements.
- Acting as a liaison between the executive and leadership team, and other departments to ensure smooth communication and timely execution of tasks.
- Assisting in the preparation of meetings and presentations, including gathering necessary information and coordinating logistics.
- Handling confidential information with discretion and maintain confidentiality.
- Helping LT liaise with key project workstreams, including tracking deadlines, deliverables, and action items. When projects are live.
- Organizing and coordinating internal and external events, such as team off-sites, conferences, and client visits.
- Processing expense reports and manage budgets related to travel, events, and office expenses.
What We're Looking For
- Have bilingual proficiency both in English and Japanese (business-level or above).
- Have proven experience as an executive assistant or in other administrative positions.
- Have the ability to manage complex schedules and prioritize tasks.
- Be proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace and other office productivity tools.
- Maintain strict discretion and confidentiality at all times.
- Have experience in Tech or SaaS environment is a plus
