The Role

The **Office Manager** is responsible for maintaining Veeva's Tokyo office at an excellent standard. Responsibilities include managing office processes, coordinating projects, and overseeing the facility. The ideal candidate is detail-oriented, has strong customer service values, efficient time management skills, and thrives in a dynamic environment. Reporting to the Director of Workplace & Facilities Asia, this position is part of the Asia Workplace Team.

What You'll Do

  • General Office Management:
  • Ensure the office is clean and well-stocked daily
  • Collaborate with the Global Workplace Team to maintain health & safety standards
  • Manage supplies and vendors, including janitorial services and food suppliers
  • Maintain a welcoming reception area and handle mail/shipping tasks
  • Assist in new hire onboarding and act as a point of contact for requests
  • Workplace Projects:
  • Handle office maintenance and projects, including budget management
  • Support personnel moves and furniture/equipment purchases
  • Work with property management to address maintenance issues
  • Ensure office security compliance and manage badging processes
  • Event Management:
  • Coordinate onsite events, meeting rooms, AV setup, and catering
  • Organize regular gatherings and annual employee events
  • Requirements

    • 3+ years of Office or Facilities Management experience
    • Strong customer service and communication skills
    • Self-starter with a positive attitude and ability to manage budgets
    • Proficient in MS Office and general computer skills
    • Onsite role on weekdays with commitment to required hours
    • Nice to Have

      • Ability to communicate in English
      • Experience in small office construction and relocation projects
      • Veeva's headquarters is in the San Francisco Bay Area with offices worldwide.
