Your Mission
To manage daily office operations, including administrative tasks like managing supplies, answering phones, and maintaining files, while also handling core bookkeeping responsibilities such as accounts payable and receivable, bank reconciliations, and preparing financial reports. This combined role requires a blend of organizational and detailed financial skills, often utilizing accounting software to ensure accurate financial records, process payroll, and support the overall smooth functioning of the business.
Responsibilities
Office Management:
- Oversee general office operations and maintain a tidy, organized workspace
- Manage office supplies and equipment, ensuring necessary items are stocked and repairs are handled
- Handle incoming and outgoing mail and correspondence, including phone calls and emails
- Greet customers and visitors, providing a positive first impression
Bookkeeping & Finance
- Record, classify, and update numerical data in the company's financial records
- Process and manage accounts payable and accounts receivable
- Perform bank reconciliations and maintain accurate bookkeeping ledgers
- Manage payroll processing and related tax filings
- Prepare and generate financial reports and assist with budgeting
- Ensure timely payments for bills and invoices
- Assist with the preparation of tax forms and financial statements
Requirements
Technical Skills:
- Proficiency in accounting software and Microsoft Office Suite
Organizational Skills
- Strong ability to manage multiple tasks, prioritize, and maintain meticulous records
Financial Acumen
- Solid understanding of bookkeeping principles, with experience in accounts payable, accounts receivable, and financial reporting
Language Skills
- Strong business Japanese; strong business English
HR Experience
- Experience in managing HR tasks for a small office
Communication & Customer Service
- Excellent skills for handling internal and external inquiries, providing attentive service
Attention To Detail
- Accuracy in data entry, calculations, and financial record-keeping is crucial
