What will you be doing at DeepL?
We are seeking an experienced People Operations Specialist to join our team at DeepL as soon as possible With your structured way of working, your organizational talent, and your experience in the administrative HR area, you will support us in bringing new colleagues on board and driving existing processes forward to achieve great goals together. You will join an efficient and very well-organized People Operations Service & Support team of six, which is continuously growing just like the company, and which will realize great projects together with you.
Your Responsibilities
- Global People Operations Management: Be the first point of contact for our colleagues around the world to support on topics such as payroll, benefits, global mobility, PTO, etc., and ensure that all processes are adhered to and kept up-to-date in accordance with labour laws, internal policy and procedures.
- Local People Operations Management: Take ownership of key local people processes such as health check ups, stress check process, health insurance enrollment, health and safety process, flu shot process and data collection for important payroll processes.
- Employee Experience: Help manage key parts of the employee journey, including coordinating onboarding and offboarding, and assisting with employee engagement initiatives.
- HRIS Management: Ensure our HRIS data is accurate and up to date by performing routine data entry and maintenance. Your work is key to keeping our records reliable and our operations running smoothly.
- Preliminary Payroll: Support our payroll experts with payroll-related tasks, such as payroll preparation, timesheet review or creating reports. Support with Year End Tax Adjustment process as local contact point for questions and file handling.
- Onboarding: Supporting new employees when they join DeepL, making sure we collect new joiner documentation and register them in necessary systems, provide access to the office, receive their pass and show them around the office..
- Offboarding: Making sure that all hardware is collected from employees who leave DeepL and providing them with the correct documentation, making notifications of the leaver to the relevant parties, including external stakeholders.
- Document handling: Receiving documents in the post, making sure it is distributed correctly, collecting documentation from employees and filing them in the correct way.
- Project Management Support: Provide support on various People Operations projects, helping to execute tasks and collaborating with team members to achieve project goals.
- Compliance and Policy Implementation: Ensure our HR processes and policies are compliant with local and international regulations.
- Continuous Improvement: Identify and implement process improvements to enhance efficiency and effectiveness within the people operations function.
- Stakeholder Management: Collaborate with key stakeholders across various departments to ensure alignment and effective communication of People initiatives.
About You
- HR Expertise: Very good knowledge of applying and following HR practices, policies, and regulations, in an international and dynamic environment
- Technology Savvy: Proficiency in using HRIS tools, e.g. Bob and other HR technology tools like Jira.
- Communication Skills: Very good communication and interpersonal skills, with the ability to collaborate effectively with stakeholders at all levels.
- Problem-Solving Skills: Strong problem-solving abilities, with a focus on continuous improvement and ownership.
- Adaptability: Ability to thrive in a fast-paced, dynamic environment and manage multiple priorities simultaneously.
- Qualifications: Eisei Kanrisha 第二種衛生管理者 is nice to have
- Language: Fluent in English and Japanese, German is a plus.
