We're looking for an Office Manager who will serve as a trusted right hand to the CEO while ensuring our Japan office runs as a collaborative, efficient, and high‑performing hub.
In this role, you will seamlessly blend high‑level executive support with day‑to‑day office operations, creating an environment where people can do their best work.
You will manage the CEO's schedule and priorities, coordinate key meetings and business trips, and act as a central liaison with internal and external stakeholders.
At the same time, you'll own the office experience end‑to‑end — from facilities and vendors to health & safety and in‑house events — so that the Peak Energy Japan office is not just functional, but inspiring.

A. Personal Assistant to the CEO
Executive Support
CEO schedule management and appointment coordination
Coordinating internal and external meetings, creating agendas, and preparing necessary materials
Domestic and international business trip arrangements (flights, accommodation, transportation, itinerary preparation)
Responding to emails, letters, and phone calls in the CEO's name
Liaison between the CEO and internal and external stakeholders, including communications in the CEO's name
Preparation and information organization for meetings and interviews
Strict management of confidential information
Support to grasp necessary matters in advance and maximize operational efficiency
B. Office Management
Equipment and Equipment Management
Ordering and inventory management of equipment such as stationery and daily necessities
Asset management of IT equipment (PCs, monitors, peripherals) and support for loan and return
Document Management
Management of contracts, receipts, etc.
Arrangement of document dissolving processing services
Benefits

Issuance of admission passes and ID cards, authority management, and collection
Coordination with various companies for office upkeep
Safety and Health Management

Inquiries and Visitor Response
Responding to the main phone, dealing with internal/ external visitors
Responding to internal requests
Planning and Management of In‑House Events
Planning and management of company trips, deliveries, events, and in‑house events
Vendor coordination, venue arrangement, and schedule management
New Employee Onboarding Support
Arrangement and setup adjustment of PC and IT equipment
Business card, locker, system access, MFP setting
Office orientation and reception on the first day of employment
Insurance and Contract Management
Fire insurance contract management and renewal
Rental car contract, user management, and related card management
Required Qualifications
Experience in personal assistant, executive assistant, or office management roles (at least 3 years)
High communication skills that can coordinate CEO work as a top priority
High ethics and compliance awareness for handling confidential information
Basic Microsoft Office operation skills
Native‑level Japanese proficiency
Business‑level English proficiency
Preferred Qualifications
Experience working at a foreign company or startup
Experience in contract management and insurance management
Personal Attributes
Ability to act proactively
Ability to handle multiple tasks simultaneously with speed
