Responsibilities

Position Description


The Executive Assistant & Office Administrator (Japanese Power) is responsible for providing ExecutiveAssistant support to the executives, as well as Office Administration support for daily operations.

The role also includes responsibility for supporting Board- and shareholder-related secretariat activities.


This position requires close coordination with internal teams and external stakeholders, proactive workflow management, and ensuring smooth execution and timely follow-up across Executive Assistant and Office Administration activities.

Key Role Responsibilities

Executive Assistant
Manage the Executive Assistant's schedule and coordinate meetings
Arrange business meals, travel, and manage expense reporting
Coordinate with internal departments and external stakeholders to ensure smooth communicationand execution
Office Administration
Handle incoming calls and visitors, and manage mail and courier services
Procure and manage office supplies, consumables, and business cards, including inventory control
Liaise with vendors, manage invoice submissions, and assist with payment processes
Oversee and continuously improve overall office operations, including facilities management, office relocation projects, and day-to-day general affairs
Support HR & Admin team members as required
Board and Shareholder's Meeting Support
Provide administrative and operational support for the Board of Directors
Prepare and coordinate Board meetings, including scheduling, materials preparation, and minute-taking
Manage reporting and communication with the parent company and shareholders

Qualifications

Bachelor's degree or above
3+years of experience in Personal Assistant or Office Admin
Strong organization and multitask abilities
Excellent interpersonal and communication
Business-level English proficiency (written and spoken)
Fluency in Japanese (spoken and written) is Mandatory required
Proficient in Microsoft Office and business documentation
Ability to work independently and take ownership of cross-functional tasks
