Role Summary
We're looking for a Volunteer Event Planner to help our team deliver inspiring events for our May–August season. You'll help craft agendas, coordinate plans and communications, and support marketing and community engagement—all while working remotely.
Success means ensuring smooth logistics, strong communication and events that empower participants to leave with practical tools for positive change.
ResponsibilitiesCoordinate event logistics:
Scout and secure venues, maintain contact with venue partners and confirm readiness for our event frameworks. Help coordinate speaker outreach and ensure their topics fit our event's goals.
Facilitate digital collaboration:
Schedule and lead planning meetings twice a month via Microsoft Teams; manage shared files, chats and video calls; and support translation or captioning so everyone can contribute.
Use Teams tools (e.g., polls and QR codes) to collect attendee feedback and encourage interactive participation.Engage audiences and promote events:
Assist with event promotion on LinkedIn, Instagram and other channels. Write descriptions, teasers and short blog posts. Coordinate interactive tools to enhance attendee engagement and gather insights.
Support volunteer onboarding and coordination:
Welcome new volunteers, assign tasks and help track progress.
Encourage collaboration across planning domains such as venue liaison, speaker coordination and partnerships, ensuring every team member knows how they can contribute.
Champion clear, respectful communication:
Ensure event messaging is clear and accessible. Facilitate culturally sensitive coordination and support bilingual materials or translation where needed. Foster a conversational meeting tone and create opportunities for participants and volunteers to connect.
Encourage community building:
Help establish and sustain micro-communities (e.g., group chats or online forums) around each event to nurture ongoing engagement and networking.
Assist with outreach to partners and sponsors to build long-term relationships.Essential Qualifications
Commitment to PonderOn's mission of mental resilience, empowerment and community impact.
Strong organizational and time-management skills; ability to coordinate tasks, venues and stakeholders concurrently.
Comfortable using Microsoft Teams and email; able to schedule and participate in video calls and manage shared documents.
Clear written and verbal communication in any language; openness to using translation tools for cross-language collaboration.
Availability of about 5–15 hours per week from May through August, including participation in two monthly planning meetings.
Familiarity with social media for promoting events and engaging attendees.
Nice to Have (Not Required)
Ability to analyze survey data and apply insights to improve events.
Experience (volunteer or professional) in event planning, marketing or community engagement.
Interest in mental health, social impact or community service.
Comfort with project management platforms (e.g., Notion, Teams, Microsoft Forms).
Commitment and Meetings
Time Commitment:
Approximately 5–15 hours per week during event season (May–August).
Meetings:
Two monthly planning sessions coordinated via Microsoft Teams; scheduling will accommodate multiple time zones.
Location:
Remote role open to volunteers worldwide. Some in-person attendance may be needed; travel costs beyond 50 miles will be reimbursed.
