Role and Responsibilities

  • Inputting business data into internal systems

  • Assisting with invoice issuance (tracking, preparing originals, arranging delivery)

  • Managing schedules, arranging business trips, car services, and meeting venues

  • Processing expense reimbursements (verifying expense data)

  • Handling phone calls and welcoming visitors (including serving refreshments)

  • Coordinating ceremonial arrangements, greeting cards, and telegrams

  • Managing office areas and supplies

  • Preparing and organizing manuals, documents, and other materials

  • Organizing business cards, entering data into Excel, sorting mail

  • Communicating with secretaries and assistants in overseas offices (via email and phone)

  • Arranging hotel and transportation for overseas visitors

Requirements

Required Qualifications

  • Minimum 1 year of experience in administrative or sales support roles

  • Proficiency in Microsoft Office (especially Excel, Word, Outlook)

  • Strong communication and teamwork skills

  • Comfortable using English for internal systems and communication

  • Ability to maintain strict confidentiality

Preferred Qualifications

  • Experience in a professional services firm (e.g., law firm, consulting firm)

  • Experience in HR or general affairs in startups or small-sized companies

  • Familiarity with CRM or ERP systems is a plus
