TBS Solutions Hub Japan, part of the Global TBS Experience organization headquartered in Lodz, Poland, was established in November 2020 to efficiently resolve inquiries from internal business partners and suppliers.
The Solutions Specialist in TBS Solutions Hub collaborates with relevant functions to provide solutions to users and suppliers by handling queries and requests related to indirect procurement, invoice settlement, and travel expense claims through Takeda Solutions Portal (TSP) and Takeda Supplier Solutions Portal (TSSP) on the Service Now platform. This role aims to enhance People Experiences by contributing to exceptional service delivery. Additionally, the Solutions Specialist actively contributes to process and system improvements for query resolutions, offers feedback, participates in projects, and supports Ariba P2P user engagement through training support.
ACCELERATE VALUE & MAKE AN IMPACT BY:
- Collaborating with colleagues and external vendors to achieve project goals for new portals and workflows
- Engaging in User Acceptance Testing (UAT) for various Workstreams to ensure system functionalities
- Supporting data entries in Employee Lifecycle Management activities
- Assisting with administrative tasks related to hiring and retirement
- Creating flowcharts and SOP based on instructions and interviews
- Developing communication materials and instructional content, supporting online training creation, and monitoring training records
- Conducting data-cleanup activities for employee data
- Utilizing data science skills to create databases and reports
- Supporting meeting arrangements, logistics, and other administrative duties
- Ensuring alignment between TBS or relevant project workstreams to facilitate effective project execution
REQUIRED QUALIFICATIONS:
- Bachelor's degree required
- Minimum of 3 years of HR experience required
- Workday, ServiceNow, or other HRIS experience required
- Proficiency in Microsoft Office products (Word, Excel, Outlook, SharePoint, PowerPoint, Teams, etc.) required
- Experience with global or regional system implementation projects required
- ADP experience a plus, but not required
- Familiarity with Python, PowerAutomate, or other system languages/tools is a plus
- Excellent written and verbal communication skills in Japanese and English required
Takeda Compensation and Benefits Summary:
- Allowances: Commutation, Housing, Overtime Work, etc.
- Salary Increase: Annually; Bonus Payment: Twice a year
- Working Hours: Headquarters (Osaka/Tokyo) 9:00-17:30, Production Sites (Osaka/Yamaguchi) 8:00-16:45, (Narita) 8:30-17:15, Research Site (Kanagawa) 9:00-17:45
- Holidays: Saturdays, Sundays, National Holidays, May Day, Year-End Holidays, etc. (approx. 123 days per year)
