Job Description
Our company is an experienced production company handling various types of video and event productions, including nationwide TV programs and commercials, live concert footage of famous artists, large-scale festival streaming, PR videos for major companies, and more.
We are seeking staff who can utilize their language skills and engage in event-related operations for a newly established Event Management team (7-9 members planned) at a major foreign IT company client.
Our goal is to provide a one-stop solution for various genres of events held in the client's event space, delivering world-class experiences to hosts and guests alike.
The Event Manager (EM) plays a central role in the planning and preparation stages of events.Through meetings, you will understand client needs, collect necessary information, materials, and resources, coordinate with internal service lines (catering, security, technical production, etc.) and onsite teams, and advise on delivering better event experiences.
We are looking for an event expert who can multitask across multiple events and requests, manage schedules by working backward from event dates, and who possesses the ability to comprehend implied needs from limited information.
Communication skills are also critical, as you will be engaging with clients daily in a front-office role.Ideal Candidate Profile

Responsibilities
Provide consulting-style one-stop-shop event planning support to event organizers to create excellent event experiences
Confirm objectives and requirements with event hosts for live and online events
Review budgets and propose measures to maximize ROI
Coordinate logistics, decoration, entertainment, catering, and all event-related requirements and planning
Propose event enhancements to achieve desired objectives
Review all meeting spaces to ensure appropriate allocation
Communicate changes or cancellations of space reservations to Space & Service Coordinator (SSC)
Timely update group information in internal systems
Regularly check event spaces and facilities to ensure proper service delivery
Relay event requests to Event & Service Specialist (ESS) and confirm any additional needs during group events
Ensure timely communication and reporting to all service departments
Conduct post-event surveys following SOP procedures, report feedback, positives, and issues to the event service team
Collaborate closely with responsible departments on communication, scheduling, registrations, feedback surveys, final reports, and related deliverables
Handle arrangements and coordination of audio/visual, decoration, catering, security, entertainment, novelties/prizes, transportation, etc.
Produce creative and innovative events with attention to detail based on strategic plans
Manage multiple programs/events across various industries, delivering world-class creativity through innovation and strategy
Requirements
Native-level English and business-level Japanese (approx. JLPT N2 or higher, capable of smooth presentations and negotiations)
Minimum 3 years of professional experience
Experience in event planning, management, production, marketing, or agency work (e.g., event coordinator, event manager, project manager, production desk, producer, director)
Practical experience with G-suite / Google Workplace (Drive, Slides, Docs, Spreadsheet, Meet, Chat, Calendar, Gmail, etc.)
Preferred
Basic knowledge of production technology
Interest in social media and video streaming platforms
Experience with software related to events and streaming such as Final Cut Pro, Premiere Pro, Adobe CC, StreamYard
Proficiency in Keynote, Microsoft Office

English and Japanese (mainly English for client communication via email and meetings)
Location:
Client site in Shibuya, Tokyo (with possibility to work at company's Shibuya office until team is fully established)
Working Hours: 9:00 - 18:00 (8 hours/day)
Holidays:
Two days off per week, 10 days paid leave per year (in the first year)
Holidays usually follow the calendar. Events mostly during weekdays and daytime. If events occur on holidays, compensatory days off will be given.
Working hours are flexible around event schedules. On non-event days, standard hours apply.
