The role plays a crucial role in nurturing relationships with IMJ sales teams, ensuring seamless interactions with our client and prospects, and contributing to the success of our business. This role is responsible for various client services / sales support activities, including maintaining our client database, supporting prospecting activities, preparing sales materials, participating in the RFP process, etc.

We're seeking a Associate, Client Services to join our Investment Management team in Japan. This role is located in Tokyo and this is a hybrid working role.

Responsibilities:

  • Cultivate and maintain strong relationships with our sales colleagues, providing proactive support that contributes to meeting our sales targets
  • Assist the sales teams in prospecting activities, including identifying potential clients and gathering relevant market intelligence
  • Serve as the first point of contact for responding to day-to-day client inquiries and requests, as well as communicating with internal counterparties; investments, sales, operations, legal & compliance, etc. where necessary
  • Client onboarding/offboarding: lead the EKYC process, collect AML/KYC documents, coordinate fund set-up or account opening processes or liquidation processes, etc.
  • Support the RFP/RFI/DDQ process where necessary, working closely with the sales team and investment professionals to ensure timely and accurate completion of RFPs
  • Maintain and update the client database, ensuring accurate and up-to-date information
  • Create and maintain sales materials, such as presentations, pitch books, etc.
  • Support Head of Client Delivery to monitor client assets, inflows/outflows, changes in AUM etc. and communicate with relevant stakeholders as needed
  • Ensure that our global policies as well as local governance and regulatory standards are met, and that any required documentation is available, complete, archived and up to date
  • Coordinate with various internal stakeholders to ensure efficient communication and collaboration
  • Provide translation and interpretation support to sales teams where necessary

    • Qualifications:

  • University degree required; CMA / CFA candidate is a plus
  • Minimum of years of experience in a sales support role within the financial services industry, preferably with knowledge in both traditional and alternative assets
  • Proven experience in supporting sales professionals
  • Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively
  • Exceptional attention to detail and accuracy
  • Proficiency in Microsoft Office suite, particularly Excel and PowerPoint, knowledge in Excel VBA is a plus
  • Strong interpersonal and communication skills
  • Ability to work in a fast-paced, deadline-driven environment
  • Bilingual in English and Japanese
