ABOUT THE ROLE
We are a global technology company operating a cloud-first internal IT environment with a strong focus on security, governance, and compliance. Our internal systems are centered on Google Workspace and integrated with multiple SaaS platforms and external vendors.
We are seeking an
Internal Systems Manager
to design, operate, and continuously improve internal systems from a governance and internal control perspective, rather than being tool-dependent.

orks closely with the CTO on system architecture, security, internal controls, and AI usage policies - Operates with a systems- and governance-oriented mindset, balancing efficiency with risk management
- Takes ownership of security, compliance, and control standards
- Manages and coordinates external vendors effectively
- Uses AI tools thoughtfully as decision support, not automated decision-makers
KEY RESPONSIBILITIES
IDENTIY & ACCESS MANAGEMENT
Manage and operate internal IT infrastructure centered on Google Workspace
- Design and maintain SSO-based account architecture
- Manage joiner / mover / leaver processes in coordination with HR systems (e.g., BambooHR)
Design role-based access control (RBAC) and segregation of duties
WORKFLOW & INTERNAL CONTROL DESIGN
Design and standardize approval and workflow processes across internal systems
- Manage workflow governance using tools such as kintone
- Ensure proper audit trails, logs, and evidence retention
- Design workflows with internal control and audit requirements in mind
Deep hands-on experience with kintone is not required; understanding workflow governance and controls is essential.
CORE SYSTEM & VENDOR MANAGEMENT
Support governance design for core business and financial systems, including NetSuite
- Manage access controls, logs, and operational status of systems provided by external vendors
- Design mechanisms to store approval results and evidence in core systems for audit purposes
- Evaluate system changes and new implementations from a control and risk perspective
Deep operational experience with NetSuite is not mandatory; the ability to manage controls and vendors is key.
AI UTILIZATION (EFFICIENCY & RISK DETECTION)
Utilize ChatGPT, Gemini, and similar AI tools to improve internal efficiency
- Design risk-detection mechanisms for internal communications and documents
- Ensure AI is used as a supporting tool, not an automated decision-maker
Operate AI usage in accordance with internal rules and governance policies defined with the CTO
SECURITY, CONTROLS & AUDIT SUPPORT
Operate internal systems at a public-company-level security and control standard
- Manage administrative privileges and system logs
- Support external audits and internal reviews
- Assist in incident response and preventive control improvements
CURRENT INTERNAL SYSTEMS ENVIRONMENT
(Experience with these tools is helpful but not mandatory)
- Google Workspace (core identity and IT platform)
- Slack (internal communication)
- Asana (task management)
- Notion (documentation)
- BambooHR (HR management)
- DocuSign (electronic contracts)
- ChatGPT / Gemini (AI tools)
- kintone (workflow and approval governance)
- NetSuite (financial systems and audit evidence)
- Various systems provided by external vendors
REQUIRED QUALIFICATIONS
- Experience in internal IT systems, IT operations, or similar roles
- Hands-on experience managing Google Workspace
- Experience managing multiple SaaS platforms across an organization
- Understanding of access control, audit logs, approval workflows, and internal controls
- Strong security- and compliance-focused mindset
- Fluent in English (spoken and written)
- Japanese language skills are NOT required
PREFERED QUALIFICATIONS
- Experience working in organizations with public-company-level controls
- Experience supporting audits or internal control reviews
- Understanding of ERP or core business systems (product-agnostic)
- Experience applying AI tools to internal operations
- Experience defining IT governance or security policies
- Japanese language skills are a plus
EMPLOYMENT TERMS & BENEFITS
- Salary Range: USD 40,000 – USD 80,000 (annual)
- Work Location: Marunouchi, Chiyoda-ku, Tokyo, Japan
- Working Hours: 10:00 – 19:00 (1-hour break included)
- Holidays:
Saturdays, Sundays, and Japanese national holiday
Summer vacation: 3 days
Year-end / New Year holidays (Most recent example: December 27 – January 4)
Paid Leave: Annual paid leave in accordance with company policy
- Transportation: Full commuting cost covered by the company
- Insurance: Full social insurance coverage (in accordance with Japanese law)
