Administration Manager - Flexible Work Schedule
We are looking for an experienced Administration Manager to oversee our client's Tokyo office in the IT sector. This role is key to supporting various business units and requires a strategic leader who can work well in diverse, changing environments. The successful candidate will align local operations with global goals while fostering a positive and inclusive work culture. The job offers the flexibility to work from home up to three days a week and provides a chance to lead and innovate in the fast-growing IT field.

Key Responsibilities:

    • Create and maintain office environments that align with global standards and Japanese business practices.
    • Lead space planning and optimization in coordination with global and local teams.
    • Implement flexible work policies and manage office space efficiently.
    • Ensure daily operations are safe, secure, and reliable.
    • Manage local service providers, ensuring compliance with both Japanese and global standards.
    • Conduct regular site checks and quickly address any operational risks or maintenance needs.
    • Handle the budget for Tokyo office facilities, ensuring cost efficiency and accurate financial reporting.
    • Find cost-saving opportunities without sacrificing service quality.
    • Lead and support a team of administration and facilities staff, promoting teamwork and a service-focused culture.
    • Ensure team members are trained and prepared for their roles.
    • Work with IT to apply modern workplace technologies and improve processes.
    • Balance global practices with local needs in technology integration.
    • Enhance workplace well-being and productivity, respecting Japanese work culture.
    • Act as a key contact for employee feedback on workplace services.
    • Apply sustainable office management practices, focusing on reducing waste and conserving energy.
    • Support eco-friendly initiatives and provide data for global sustainability efforts.
    • Negotiate contracts and manage vendor relationships to meet company standards.
    • Work with internal teams to address various business needs.
    • Maintain and update the Tokyo office's Business Continuity Plan.
    • Coordinate emergency planning and response, ensuring staff are trained in safety protocols.

Qualifications:

    • Fluent in Japanese and English.
    • Strong understanding of Japanese business culture and cross-cultural communication.
    • Proven experience in office operations and administration in a fast-paced IT setting.
