**Job Title:** Support Services Coordinator
About the Role:
We are seeking a highly organized and detail-oriented individual to join our team as a Support Services Coordinator. In this role, you will provide sales, marketing, and general affairs-related support services for facility management and office operations, ensuring a safe and productive work environment.
Key Responsibilities:
- Ensure company meets Real Estate (Takken) and Travel Agency license requirements by working with outside counsel and local authorities.
- Support the selection of office suppliers and service vendors, managing their contracts and ongoing relationships.
- Implement new office systems, deliver education and manage ongoing management and escalation contact.
- Coordinate and execute office moves with other groups, external suppliers, and subcontractors.
- Manage invoices, postage charges in accordance with Business Management regulations and sign/coding all bills for Accounts Payable.
- Maintain a safe work environment by managing safety equipment, ensuring fire and safety codes are met, and planning/executing required fire drills.
- Manage third-party security vendors and ensure security systems function appropriately.
- Manage Bullet Train tickets, Guest cards, Business cards, and other items as needed.
- Provide a pleasant and sanitary environment.
- Support company events.
- Manage company seal.
- Offer professional telephone and customer service support.
- Run Sales/Marketing performance reports.
- Manage and maintain Sales/Marketing support tools, supplies at each sales gallery and marketing desk.
- Translate English documents.
- Offer interpretation services for visitors from overseas.
- Mail letters to clients.
- Coordinate and support with other galleries and departments.
Requirements:
- Experience in office management services.
- Ability to multi-task.
- Experience in vendor management.
- Ability to collaborate with various stakeholders throughout the company.
- Strong sense of urgency, good follow-through, and excellent customer focus.
- Minimum of two (2) years of experience with Microsoft Word, Excel, and Outlook.
- High school/GED.
- 3-5 years of experience in office services and facilities management.
