Job Title: Office Operations Support
Summary
We are seeking a highly organized and detail-oriented individual to provide administrative support for our office operations. This role will be responsible for ensuring a safe and productive work environment, managing office supplies, coordinating events, and providing exceptional customer service.
Key Responsibilities
- Ensure the company meets Real Estate (Takken) and Travel Agency license requirements by working with external counsel, local authorities, and team members to confirm procedures and ensure accurate filing and renewals.
- Support the selection of office suppliers and service vendors, manage associated contracts, and implement new office systems.
- Cordinate office moves with other groups, external suppliers, and subcontractors, and manage invoices, postage charges in accordance with Business Management regulations.
- Maintain a safe work environment by managing safety equipment, ensuring fire and safety codes are met, and planning and executing required fire drills.
- Manage third-party security vendors and ensure security systems function appropriately.
- Provide professional telephone and customer service support, run sales/marketing performance reports, and manage and maintain sales/marketing support tools and supplies at each sales gallery and marketing desk.
- Translate English documents, interpret services for visitors from overseas, mail letters to clients, coordinate and support with other galleries and departments, and assist in other work as assigned.
Requirements
- Experience in office management services, ability to multi-task, experience in vendor management, and ability to collaborate with various stakeholders throughout the company.
- Strong sense of urgency, good follow-through, and excellent customer focus, minimum of two years of experience with Microsoft Word, Excel, and Outlook, high school/GED, and three to five years of experience in office services and facilities management.
