As part of GL events Group, operating in 20+ countries with over 5,000 employees and €1.3bn in revenues, GL events Japan supports world-class projects like the Asian Games 2026 in Nagoya.
The Cluster Integration Manager and Deputy Cluster Integration Manager work together to ensure seamless integration of venue operations, design, and logistics for the Asian Games 2026.
The Deputy role supports the Cluster Integration Manager in coordinating tasks, managing timelines, and maintaining communication across departments and stakeholders.
Key Responsibilities:
Scoping Phase Coordination
Assist in preparation and validation of venue drawings, BoQs, and master schedules.
Support tracking and reporting progress in collaboration with Design, VDO, and VOS teams.
Deputy role:
Monitor task execution and escalate issues to the Cluster Integration Manager.
Site Visits & Reporting
Coordinate logistics for venue site visits and assist in execution.
Prepare and circulate Minutes of Meeting and Site Visit Reports.
Support translation processes for clear communication across teams.
Deputy role:
Ensure timely documentation and follow-up actions.
Cross-Departmental Liaison
Act as a point of contact for collecting and disseminating venue-related information across OVL, PWR, ABL, L&F, and VOS.
Facilitate consolidation and sharing of data for effective handovers.
Deputy role:
Maintain updated trackers and assist in resolving cross-functional queries.
AINAGOC Coordination
Support GL events' representation in AINAGOC Venue Management Team meetings.
Assist in drafting and relaying updates on status, risks, and issue resolution.
Deputy role:
Prepare briefing notes and ensure alignment before meetings.
Additional Responsibilities:
Apply a Design-to-Cost approach, proposing solutions that respect budgetary constraints without compromising functionality or quality.
Collaborate closely with cluster designers, technical teams, and commodity managers to deliver practical solutions.
Attend site visits when needed to ensure design solutions match real conditions.
Maintain proactive communication with the Head of Operations and team members for cross-venue consistency.
Follow internal processes, standards, and workflows for efficiency and timely delivery.
Deputy Role Specifics:
Act as second-in-command for cluster integration activities.
Step in during the Cluster Integration Manager's absence to ensure continuity.
Provide operational support and assist in decision-making for urgent matters.
Monitor progress and report risks or delays promptly.
Qualifications & Skills
Associate or bachelor's degree in a relevant field
2+ years of experience in event management or project coordination (preferably international)
Strong organizational and multitasking abilities
Excellent communication and interpersonal skills
Keen attention to detail and an aptitude for problem-solving
Ability to work under pressure and adapt to fast-paced environments
Professional English and Japanese is advantageous
Proficiency in office software (Word, Excel, Outlook, Teams) and AutoCAD
International experience is a plus
Passion for sports and global events
