The Service Administrative Assistant is responsible for Preparation of quotations, order placement and receipt, invoicing, and other end-to-end operational tasks related to services for our in-house analytical instruments and peripheral equipment from other manufacturers.
This position reports to the Service Operation Manager and is part of the Service Operation Group located in Shinagawa, Tokyo, Japan and will be an on-site role.
In this role, you will have the opportunity to:
- Manage end-to-end service operations related to in-house analytical instruments and third-party peripheral equipment, including quotation preparation, order processing (purchase and sales), invoicing, and system transactions using Oracle and Salesforce.
- Coordinate service execution and lifecycle administration, including creation and distribution of Service Requests / Work Orders to engineers, warranty issuance after delivery and acceptance, data maintenance (delivery dates, peripheral linkage), and scheduling of preventive maintenance activities for contracted customers.
- Support internal engineers and vendor coordination, including administrative support (procurement, internal approvals), maintenance scheduling, and handling vendor-related issues such as defect resolution, quotation requests, order placement, and billing for resold peripheral equipment.
The essential requirements of the job include:
- Experience in operations, order management, or service administration in a technical, manufacturing, or service-oriented environment. Ability to manage multiple stakeholders and processes simultaneously, including engineers, vendors, and internal departments, with strong attention to detail.
- Working proficiency in business systems (e.g., ERP/CRM such as Oracle and Salesforce) and the ability to handle documentation and processes in both Japanese and English environments.
- Must be objective and measurable, eg. education, years of experience per GCRF job leveling guidelines (do not cap years of experience), specific systems proficiency or industry experience. Do not include soft skills.
It would be a plus if you also possess previous experience in:
- Hands-on experience with business tools and systems, including intermediate-level Excel skills (e.g., VLOOKUP), Outlook and Microsoft Teams, and Salesforce (Opportunity management and quotation creation using CPQ).
- Background in quotation preparation and order management, with at least two years of experience, strong typing skills, and the ability to efficiently manage emails, prioritize tasks, and complete work within standard business hours.
- Strong communication and coordination skills, including experience scheduling with external partners, a collaborative and service-oriented mindset, and sufficient English reading ability to understand system fields and documentation.

本ポジションでは、以下の業務をご担当いただきます。
- 自社分析装置および他社製周辺装置に関わるサービス業務について、見積作成、受発注(購買・販売)、請求処理、ならびに Oracle・Salesforce を使用したシステム処理を含む、エンドツーエンドのオペレーション業務を管理する。
- エンジニア向けのサービスリクエスト/作業指示書(SR/Work Order)の作成・展開、納品および検収完了後の保証書発行、データメンテナンス(納品日登録、周辺装置の紐づけ等)、ならびに保守契約顧客向けの予防保守点検の日程調整を行う。
- 社内エンジニアの支援およびベンダーとの調整業務として、物品調達や社内承認手続き等のアドミ業務、保守点検スケジュール調整、ならびに再販売する周辺装置に不具合が発生した場合の不具合対応、見積依頼、発注、請求処理を含むベンダー対応を行う。
本ポジションに求められる必須要件は以下のとおりです。
- 技術系、製造業、またはサービス関連の環境において、オペレーション業務、受発注管理、またはサービス管理に関する実務経験を有すること。
- エンジニア、ベンダー、社内部署など複数のステークホルダーおよび業務プロセスを同時に管理できる能力を有し、細部にまで注意を払えること。
- Oracle や Salesforce などの ERP/CRM を含む業務システムの使用経験を有し、日本語および英語環境における文書作成・業務対応が可能であること。
以下のご経験・スキルをお持ちの方は尚歓迎いたします。
- Excel(VLOOKUPレベルの中級スキル)をはじめ、Outlook、Microsoft Teams、Salesforce(Opportunity管理、CPQを使用した見積作成)などの業務ツール/システムの実務経験を有すること。
- 見積作成および受発注業務に関して2年以上の経験を有し、ブラインドタッチが可能で、メール対応を迅速かつ漏れなく行い、優先順位をつけて定時内に業務を完結できること。
- 社外関係者との日程調整経験を含む高いコミュニケーション力・調整力を有し、協調性とホスピタリティをもって同僚を支援でき、システム項目やドキュメントを理解できるレベルの英語読解力を有すること(ビジネスレベルの英語力は不要)。
