Role
Cluster Director of Purchasing is responsible for the overall procurement requirements of the hotel, and ensure that all goods and services procured, conform to the required standards of quality and quantity at the lowest possible cost, at the same time ensure all work are processed in accordance with the policies, standards and guidelines established by the hotel or the corporate office.

Responsibilities

• Manage the Purchasing Department and is responsible for evaluating, planning, design, execution and monitoring of all purchasing requirements in the hotel.
• Implement and maintain all Corporate Purchasing Standards and ensure that proper controls are in place to serve the business needs.
• Supervision and providing guidance, support and training to Purchasing Team members.
• Monitoring the Purchasing operations on a daily, weekly and monthly basis.
• Maintaining the data integrity of all purchasing records.
• Develop and implement standards and procedures for the Purchasing functions.
• Maintain constant communications with other division heads in hotel to address each of their purchasing needs.
• Work closely with user departments to ensure optimal efficiency and productivity and ensure proper allocation of resources to achieve the hotel's goals and objectives.
• Coordinate purchasing requirements for all capital projects in terms of planning, preparing schedules on orders and deliveries, and communicating progress to other departments.
• Work with vendors in sourcing for new products and for consignment products.
• Coordinate with vendors on quality of products and delivery timelines. Review annual costs and negotiate with vendors for better terms and conditions.
• As a Cluster role and function, ensure that all the above duties and responsibilities are performed in all properties / hotels under the territorial jurisdiction of this role.
• In charge of the production control for original guest amenity and other supplies based on the combined consumption quantity of the cluster properties / hotels.
• Ensure that constant considerations are taken for price negotiations to enable cost savings across all cluster properties on a group basis where possible, without the compromise of quality in each and every property / hotel under consideration.
• Developing the best possible logistics for the procurement of all cluster items.

Requirements

• Minimum 5 years of purchasing experience in the hospitality industry.
• Experience managing multiple properties or clusters is a plus.
• Fluency in English and Japanese, with excellent communication and interpersonal skills.
• Strong knowledge of purchasing and procurement.
• Proficiency in hotel management systems.
• High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
