Purpose of Operation:
Serve as a point of contact for customers regarding order placement and receipt, and respond to orders, shipments, returns, and complaints.
In the event of a problem, we will promptly discuss and cooperate with the relevant departments, including sales, to resolve the problem.
Key responsibilities & accountabilities:
Order Receiving Operations
Receipt of purchase orders
Confirmation of purchase orders
Compute prices, discounts, commissions, and shipping charges as required.
Create a sales order
Sending Order Acknowledgement
a. Orders received by fax/electronic data from business partners are allocated to the inventory
of each warehouse (port) in each relevant area.
b. Check the contents (including data inputted by 3PL) of the order data and ask the sales
department to adjust the delivery quantity as necessary.
Liaise with stakeholders (customers, sales managers, and logistics personnel) to meet and exceed their expectations.
Shipping and Delivery
Create a shipping order
Prepare shipment and prepare necessary documents
Shipment
Create a sales document
Transaction Recording
Arrangement of vehicles with cost cost-driven mindset (instructions to the warehouse)
Warehousing guidance (from import)
Collect and file goods receipts and devanning/receipt reports at the time of delivery
Manage accuracy and timely manner
- Customer Service Support
Determine the best solutions for the issues, if any, escalated by the customers
Liaise with stakeholders (customers, sales managers, and logistics personnel) to meet and exceed their expectations
Container Drayage Management
Direct container delivery:
Schedule management of drayage of orders from customers and containers delivered to the company's contracted warehouse, and free time management within the container yard (CY).
In the case of drayage to the company's contracted warehouse, issuance and transmission of devan/receipt request forms.Updates to container management tables.
- Billing and collection operations
a. Scrutinize SAP sales data and invoices from each vendor to create payment requests
- Inventory management
Support physical inventory operations
Manage Inventory Levels
a. Management of each warehouse inventory in accordance with the balance of supply and
demand
- Other
Responding to customer inquiries
Responding to logistics complaints from customers
Customer Registration (SAP)
Report to Sales Representative
Progress Report on KPIs
Provide absence cover to other members of the team
Other Requirements
Requirements:
- A Bachelor's degree in business administration or equivalent, and 1 to 3 years of related experience
- Team Lead experience in customer service and/or logistics
- Good communication skills
- Working experience with SAP
- Ability to effectively establish rapport, present information, and respond to questions from
- Ability to apply concepts of basic accounting
- Ability to solve practical problems and deal with a variety of concrete variables
- Ability to interpret a variety of instructions furnished in written, oral, or scheduled forms
- Skill and ability to operate a computer and work extensively with EXCEL, WORD, and OUTLOOK
- Skill and ability to organize and prioritize work, and meet deadlines
