Key Responsibilities
Handling day-to-day shipping ops, including confirming shipping information and preparing necessary documents for special packages.
Assess and resolve any issues during the dispatching and delivery of packages.
Provide accurate information regarding shipment procedures, including prohibited items and HS codes, to both internal and external stakeholders.
Contact our couriers by phone and email to confirm information such as shipping status, export availability, and initiating claims.
Coordinate return shipments and handle damage and lost claims.
Build strong relationships with stakeholders to accomplish smooth work and procedures.
Work to improve the logistics process by negotiating with suppliers and customers, increasing efficiency, reducing unnecessary steps, and creating innovative solutions for logistical issues.
Maintain detailed and accurate logistics data for daily, weekly, and quarterly reports including usage metrics, customer issues and resolutions, training records, work logs, and schedule documentation.
Provide comprehensive logistical support daily for outbound shipments, including verifying smooth procedures and overseeing quality assurance.
Create policies, risk management programs, and supply chain processes as needed to increase logistical efficiency and cost-effectiveness.
Create work instructions and update existing ones to share knowledge and procedures with our team.

Minimum Qualifications
2-3 years of relevant experience in a similar field
Exceptional communication skills, both verbal and written, with the ability to effectively interact with colleagues and stakeholders at all levels
Advanced proficiency in Japanese (minimum N2 level) and Business-level English
Strong self-management abilities, capable of prioritizing tasks and delivering results consistently in a fast-paced environment
Excellent problem-solving abilities along with effective negotiation skills.
Basic proficiency with MS Office Word, Excel, PowerPoint or Google Docs, Sheets, and Notion
Demonstrates outstanding time management skills by effectively prioritizing tasks, organizing workflows, and setting realistic deadlines.
Preferred Qualifications
Strong customer service capabilities
Experience processing shipments using DHL and FedEx software
Knowledge of international shipment standards for global operations
Commitment to ongoing professional development
