役割概要

オフィス・マネージャーは、円滑な業務と生産的な職場環境を確保する責任があります。この役割には、管理業務の監督、財務管理、チームワークの育成が含まれます。オフィス・マネージャーは、オフィスの確立と拡大、ポリシーの実施、スタッフのサポートにおいて重要な役割を果たします。コンプライアンスを維持し、効率化を促進し、オフィスの成功に貢献する上で欠かせない存在です。

主な職務

東京オフィスの設立と規模拡大を主導し、円滑な運営と組織基準の遵守を確保する。

日本オフィスのスタッフに対し、オフィスプロセス、セキュリティ手順、調達、発注、請求書発行に関する導入とトレーニングを行う。

現地の法規制を遵守するため、グローバルな方針や手順の現地付属文書の作成をサポートする。これらの方針をオフィス全体に導入する。

ビジョンや価値観の調整、知識の共有、新システムやインフラなどの変更プロジェクトなど、効率的な組織変更に貢献する。

About Us

Bjak, a leading Information Technology and Services company, is looking for a dynamic and experienced individual to join our team as the Head of Operations. In this role, you will be responsible for overseeing and managing the day-to-day operations of the company, ensuring efficient processes and systems are in place to support our business goals and objectives.

Role Overview

The Office Manager is responsible to ensure smooth operations and a productive work environment. This role involves overseeing administrative tasks, managing finances, and fostering teamwork. The Office Manager plays a vital role in establishing and scaling our office, implementing policies, and supporting staff. They are essential in maintaining compliance, promoting efficiency, and contributing to our office's success.

Key Responsibilities

  • Lead the establishment and scaling up of our office in Tokyo, ensuring smooth operations and adherence to organizational standards.
  • Provide induction and training to Japan office staff on office processes, security procedures, procurement, purchase orders, and invoicing queries.
  • Support in developing local annexes to global policies and procedures to ensure compliance with local regulations. Implement these policies across the office.
  • Contribute to efficient organizational changes, including vision and values alignment, knowledge sharing, and change projects such as new systems or infrastructure.

Requirements

応募資格

  • 英語と日本語に堪能であること(CEFRレベルC2)。
  • 日本での事務管理、運営、施設管理の経験がある方。
  • 日本における非営利団体や財団の規制環境を理解していること。
  • 効果的な予算管理の経験。
  • 複数のタスクと優先順位を効率的に管理できる優れた組織能力。
  • グローバルな組織において、リモートマネジメントやマトリックスマネジメントに慣れていること。
  • Fluent (CEFR level C2) in English and Japanese.
  • Good knowledge of administrative and financial processes and systems.
  • Previous experience in office administration, operations, or facilities management in Japan.
  • Understanding of regulatory environment for non-profits and foundations in Japan.
  • Experience managing budgets effectively.
  • Excellent organizational skills with ability to manage multiple tasks and priorities efficiently.
  • Comfortable with remote or matrix management in a global organization.
