We're looking for a reliable and detail-oriented Tour Operations & Booking Assistant to support our Tour Operations & Booking team.
This position involves handling guest communications, managing tour bookings, and coordinating with guides, hosts, and partners to ensure smooth and memorable experiences.
ResponsibilitiesManage tour bookings and guest communication via email and OTA platforms (Viator, ByFood, etc.)
Coordinate guides' schedules, availability, and assignments
Send pre-tour and post-tour information to guests
Handle guest inquiries in English (and/or Spanish)
Update and maintain tour listings on the website and OTAs
Monitor reviews on TripAdvisor and other platforms; post and respond as needed
Collect and organize tour data for reporting and analytics
Support the creation of custom itineraries for private and group tours
Required Skills & Experience
Excellent written communication skills in English (Spanish is a plus)
Basic Japanese proficiency (business-level Japanese is a plus)
Strong organizational and multitasking skills
Familiarity with WordPress, Google Sheets/Docs, and OTA dashboards
Customer service or travel industry experience preferred
Proactive, detail-oriented, punctual, and able to work both independently and in a team environment
Position Details
Contract Type:
Part-time
Trial duration: 3 months
Contract duration: 1-year renewable standard part-time contract
Working hours: 15-20 hours per week
Flexible schedule:
Work between 9:00–18:00 (JST)
Work style:
Semi-remote, 1 day/week onsite in Nagoya at a coworking space or office (during the first 3 months, the candidate may be required to work onsite more than 1 day per week).
Location requirement:
Must live in Nagoya or the surrounding areas
Equipment requirement:
The candidate must have their own laptop (notebook PC) for both remote and on-site work.
Expected pay:
¥72,000 - ¥136,000/month, depending on experience and hours
Transportation expenses:
Covered for on-site workdays (up to ¥1,000/day).
