Position Overview / 職務概要:

Asia-Pacific Academic (APA) is seeking several Program Assistants/Managers based in
Tokyo or Shanghai
to support the planning and coordination of customized faculty-led study abroad programs across Asia and Oceania. Key responsibilities include developing academic itineraries, managing program budgets, coordinating with institutional partners and regional vendors, and overseeing on-the-ground program implementation for international university clients.

The ideal candidate is highly organized, detail-oriented, and fluent in English, Chinese, and Japanese.This role requires the willingness and ability to travel, as well as flexibility to work occasional irregular hours, depending onprogram schedules.

Key Responsibilities / 主な職務内容:

 Understand university partners and the education industry, including key decision makers and influencers,

university partner objectives and value factors;

 Work with faculty leader(s) and Education Abroad staff from university partners on initial program

development, including itinerary building, proposal writing and contract execution;

 Maintain detailed records of all activities (including meeting notes, contacts, program developments,

approved programs, partner development tracking, and other data points) related to institutions in CRM

and Operations Management platform;

CRM

 Develop program costing and pricing, to ensure program cost and service levels meet university partner

expectations;

 Partner with internal team members to leverage their expertise for customer support and calls with

institutions portfolio;

 Sustain partnerships with Education Abroad staff and faculty leaders at institutions in your portfolio;

Identify resources and outreach new vendors from destinations based on program requests;

 Expand academic, corporate and alumni contacts through a thorough understanding of program needs,

and an assessment of new corporate and alumni engagement opportunities.;

 Build and implement Student Ambassador Recruiting & Internal Training with other Department;

 Review and adapt itinerary changes with faculty leader(s), and work with Operations team to ensure

program adjustments;

 Collect and manage all program information, including the current itinerary, group information collection,

academic needs, logistics booking, and others;

 Manage on-the-ground operations during all programs, including daily activity oversight, cost control,

check-in meeting with faculty leaders, and others;

 Understand all feedback for occurred programs and provide detailed record and summary to internal

team;

 Other tasks as assigned by supervisors;

 Creative new ideas provided to the team.

Qualifications / 資格要件:

 Bachelor's degree required; preferred fields include international education, business, or related fields.

 1–2 years of relevant experience in program coordination, project administration, or proposal support.

 Professional fluency in English and Japanese is required; proficiency in Chinese is a plus.

 Strong attention to detail and document management skills, with the ability to manage multiple vendors

and projects simultaneously.

 Excellent communication, negotiation, and interpersonal skills, especially in cross-cultural environments.

 Strong organizational and time-management abilities; capable of working independently and

collaboratively in a fast-paced setting.

 Proficiency in Microsoft Office Suite, especially Excel and Word; familiarity with collaborative platforms

(e.g., Google Workspace or similar) is a plus.
