  • Provide excellent customer service at all times
  • Provide high standards in client service delivery via f2f, telephone and email communication adhering to the client's expectations
  • Foster a friendly, pro-active, and productive manner towards customers
  • Ensure all client requests and inquiries are actioned and answered promptly, accurately and in a professional manner
  • Coordinate the efficient and accurate booking of meeting rooms and catering requests
  • Proactively manage bookings and resolve meeting room conflicts
  • Liaise with other IT and Global Corporate Services (GCS) functions to ensure meetings run smoothly
  • Liaise with building management office for office matters (e.g. work permit and visitor registration)
  • Perform daily checks of all conference rooms and the office area; reporting any issues by creating work orders and monitoring until issues are resolved
  • Adhere to procedures and processes as well as manage client expectations and anticipate their needs
  • Coordinate the culinary program for the office including ordering, stocking and quality control
  • Maintain the general tidiness of the reception area and meeting rooms
  • Provide reception/guest relations coverage (if required)
  • Provide support for general office administration duties (e.g. security card requests, pantry ordering, mailing/ printing management)
  • Provide support on finance matters (e.g. invoice handling, purchase order request)
  • Coordinate with contractors, explain requirements, seek quotations, complete analysis & evaluation, prepare presentation materials, provide recommendation & arrange work schedule
  • Assist in coordination and supervision of weekend and after-hours maintenance and repair works
  • Monitor performance of vendors and the team to ensure health & safety policy is complied with
  • Liaise with vendors, contractors, and landlord to facilitate the renovation / civil work progress.
  • Overall management of housekeeping issues (general cleaning, pest control and environment management) performed by cleaning vendor
  • Attend emergency and prepare Incident Reports
  • Compile the appropriate reporting for the clients.
  • Ad hoc duties as requested by management.

Employment Type: Contract Employee

Work Location: Roppongi, Minato-ku, Tokyo

Smoking Policy: No smoking on premises (designated smoking areas available)

Working Hours: 9:00 AM to 6:00 PM (hours may vary when working at client sites)

Flexible Work Hours: Core hours apply

Remote Work: On-site attendance required (Remote work requests require consultation)

Holidays: Two days off per week (Follows Japanese calendar)

Base Annual Salary: ¥5,000,000 - ¥6,000,000

(The above is an estimate only; the final amount will be determined after the interview based on skills and communication abilities)

Overtime Pay: Included. Fixed overtime pay (equivalent to 30 hours per month) is included in the base annual salary.
