As an Operations Coordinator, you will play a key role in ensuring that all services delivered exceed our clients' expectations. You will coordinate non-accommodation services, monitor the delivery of quality service, and ensure smooth operations for our diverse clientele.
Key Responsibilities:
- Service Coordination:
Plan and book all non-accommodation services (transfers, excursions, train tickets, and individual packages) to ensure seamless operations. - Quality Control:
Ensure that all services meet the quality and operations standards agreed with clients. - Supplier & Client Liaison:
Handle operations-related inquiries professionally, serving as the point of contact for both suppliers and clients. - Documentation Management:
Ensure all service requirements are accurately confirmed and recorded in the system (Travel Studio). Print necessary documents, prepare welcome packs, and confirm tickets for clients. - Operational Support:
Plan and assign drivers and tour guides for services, monitor office phone lines, and investigate any operational incidents or complaints. - Collaboration:
Work closely with reservations staff, Travel Planners, and suppliers to ensure all services are delivered in line with the company's SOPs. - Special Projects:
Assist with special projects and additional duties as assigned by your Line Manager.
Qualifications and Experience:
- Educational Background:
Bachelor's degree in Hospitality, Tourism, Business, or a related field. - Language Skills:
Proficiency in both written and spoken
Japanese and English
(additional languages are a plus). - Experience:
Minimum 1 year of experience in inbound DMC/tour operations or a related field (experience with Japan destinations is a plus).
Skills & Abilities:
- Strong organizational skills with an eye for detail.
- Ability to prioritize tasks effectively while managing multiple responsibilities.
- Excellent customer service focus and the ability to maintain professionalism under pressure.
- Good computer literacy, including MS Office and travel-related software such as Travel Studio.
- Flexibility to work occasional weekends and outside regular office hours when necessary.
