Key accountabilities

• Liaise with new and existing suppliers – act as link with internal stakeholders & suppliers
• Setup new suppliers onto the Colt DCS procurement system
• Maintain suppliers details in Ariba to ensure they are up to date
• Review and approve purchase requisitions and complete PO investigations where required
• Interact with Colt DCS business stakeholders to follow up on queries and issues arising with the flow of PR/PO documentation
• Deal with general suppliers questions and issues and become the Subject Matter Expert for Colt DCS e-procurement support
• Load and maintain all supplier contracts into the central contract repository
• Initiate and perform contract signature completion (using Docu-Sign system) and variations or extensions where required
• Ensure contracts are recorded and signed by appropriate Colt DCS signing authority
• On occasion, perform low value sourcing events (through Ariba) and efficiently manage the tender process from specification stage to the final contract award
• Support low-value sourcing activities using Ariba, including assisting with tender documentation and coordination under the guidance of Procurement Managers
• Support supply risk process by conducting regular supplier credit checks and maintaining data in the VRM portal (Vendor Risk Management tool)
• Support the management of tail spend suppliers within the Japan region under the guidance of the Procurement Manager
• Assist in development of the Colt DCS savings methodology tool and maintain management of logging and reporting savings
• Develop and own distribution of quarterly procurement reporting metrics packs

Key performance indicators

• Timely completion of administrative activities (PR approval, supplier registration, contract database management, procurement metrics reporting)
• Ability to drive process efficiency and keep interpersonal skills with the stakeholders and suppliers.
• Develop understanding of Colt DCS business model and awareness of compliance and legal requirements for the Colt DCS business
• Assisting with savings methodology development, quarterly procurement metrics reporting, and management-level reporting.

Relationships and key contacts

• The Procurement Analyst will be working closely with the Colt DCS Procurement team members, including other analysts in each of the Regions within Colt DCS (Europe, India and Japan)
• Liaison with other business stakeholders across all Regions within Colt DCS.
• Act as a point of contact for suppliers in Japan and support day-to-day supplier communications as part of the Supplier Relationship Management activities
• Core member of the global Colt DCS procurement team, coordinating with procurement teams across multiple region

Role specific requirements

• Minimum 3 years' experience in Procurement
• Experience of working effectively within a fast moving, multi-national organisation
• Procurement Awareness and strategic procurement support skills
• Good hands-on experience with SAP Ariba and/or other electronic procurement system
• Ensure procurement tasks are handled in line with company policies and help maintain process compliance and data integrity
• Experience and familiarity with typical procurement business cycle activities, including vendor management, negotiation processes, procure-to-pay processes, contract development, negotiation and contract execution
• Experience using DocuSign or similar electronic contract tools, Power Bi or similar
• Good communication skills in both written and spoken English are required to support day-to-day procurement tasks
• Able to support communication with suppliers and assist with contract-related tasks
• Proven ability to prioritise work and meet deadlines
• Ability to understand and respect diverse global cultures
• Ability to adapt to a fast-paced, agile environment
• Degree level qualification desirable
• Procurement qualification desirable, but not essential
• Self-motivated with inner drive and determination
• Flexible and proactive attitude
• Expected to be versatile in a small, growing team handling wide procurement tasks
• Strong team player as well as an individual contributor.
• The candidate should be willing to expand their skills, knowledge and understanding.
