Role Introduction

At InterContinental Yokohama Pier 8, we deliver exceptional guest experiences through refined service, operational excellence, and strong partnerships. As a Procurement Officer, you will support the efficient, compliant, and cost-effective sourcing of goods and services that enable seamless hotel operations. Working closely with internal departments and approved suppliers, you will ensure timely purchasing, accurate documentation, and adherence to IHG procurement standards. This role is ideal for a detail-oriented professional who values accuracy, collaboration, and continuous improvement in a luxury hospitality environment.

Key Responsibilities Procurement Operations
  • Process purchase requisitions, quotations, purchase orders, and goods receipt in accordance with hotel policies and approval matrix.
  • Ensure timely sourcing of approved goods and services to support daily hotel operations.
  • Maintain accurate procurement records, contracts, pricing lists, and supplier master data.
  • Monitor delivery schedules and follow up with suppliers to ensure on-time fulfillment and quality compliance.
  • Coordinate with Receiving and Finance to ensure accurate invoice matching and timely payment processing.
Vendor & Cost Control
  • Support supplier sourcing, comparison of quotations, and price negotiations under the guidance of the Purchasing Manager.
  • Monitor market trends, pricing fluctuations, and supplier performance to identify savings and improvement opportunities.
  • Ensure all purchases comply with approved vendor lists and contract terms.
  • Assist with cost control initiatives, inventory optimization, and waste reduction.
Compliance & Governance
  • Ensure all procurement activities comply with IHG policies, internal controls, audit requirements, and local regulations.
  • Maintain documentation to support internal and external audits.
  • Ensure segregation of duties, approval compliance, and accurate system entries at all times.
Reporting & Administration
  • Prepare regular procurement reports including spend tracking, supplier performance, and order status.
  • Maintain procurement calendars, templates, and process documentation.
  • Support data accuracy in procurement systems and continuous improvement of workflows.
Stakeholder Collaboration
  • Work closely with department heads (F&B, Rooms, Engineering, Housekeeping, etc.) to understand operational needs.
  • Communicate clearly with suppliers regarding specifications, delivery schedules, and issue resolution.
  • Support cross-functional initiatives related to sustainability, quality improvement, and operational efficiency.
What We Need From You Education
  • Diploma or Bachelor's degree in Business Administration, Supply Chain, Finance, Hospitality Management, or related field preferred.
Experience
  • 2–5 years of experience in procurement, purchasing, supply chain, or hotel operations preferred.
  • Experience in hospitality, retail, manufacturing, or service environments is an advantage.
  • Exposure to purchasing systems, ERP, or procurement platforms is preferred.
Skills & Competencies
  • Strong attention to detail with high accuracy in documentation and data handling.
  • Good analytical skills for quotation comparison, cost tracking, and reporting.
  • Strong organizational and time management skills.
  • Effective communication skills in English and Japanese (business level preferred).
  • Ability to work collaboratively across departments and with external partners.
  • Proactive mindset with a willingness to improve processes and learn continuously.
  • High integrity and strong compliance awareness.
