Regional Overseas Administrative Associate – Camp Zama, Japan
Position Overview:
The Overseas Administrative Associate will support the operational and programmatic functions of USA Girl Scouts Overseas (USAGSO). This role is responsible for assisting with various administrative, logistical, financial and coordination tasks, ensuring smooth and effective operations for Girl Scouts worldwide.
The Overseas Administrative Associate will provide support to staff, volunteers, and external partners, including the State Department, U.S. Embassies, and the Council of Advisors. This position requires a high level of organization, attention to detail, and the ability to manage multiple priorities while fostering a positive and efficient work environment.
Key Responsibilities:
- Background Checks & Compliance: Work with members to ensure timely completion of required background checks, maintaining accurate records and ensuring compliance with organizational policies.
- Logistical Support: Support the logistics and operational needs of the annual Girl Scout Cookie Program, including coordinating the distribution of cookies, tracking orders, and maintaining communication with relevant stakeholders. Provide assistance in the distribution of Girl Scout Experience Boxes, ensuring all elements are delivered on time and meet the needs of our members.
- Data Collection & Analysis: Administer and collect quantitative and qualitative data related to member engagement, program participation, GSVC and operational metrics. Provide analysis and reporting to support program evaluation and decision-making, collaborating with various staff and departments.
- Support for the Council of Advisors: Assist the Executive Director in coordinating activities and meetings for the Council of Advisors. This includes scheduling, agenda preparation, and follow-up on action items.
- Liaison with Partner Organizations: Partner with USAGSO Directors to support growing and strengthen our external partnerships with organizations such as U.S. State Department, WAGGGS, DODEA, Bluestar Families and DOD.
- Administrative Support: Provide general administrative support as needed, including scheduling meetings, maintaining files, and drafting correspondence.
- Special Event Support: Assist with the planning and execution of USAGSO events, including virtual and in-person special events, ensuring logistical details are handled efficiently.
- Girl Program and Adult Development Support: Aid Outdoor Experience and Girl Program and Adult Development Managers with planning and execution of programs for girls and adults.
Qualifications:
- Bachelor's degree or equivalent experience in international relations, communications, or a related field.
- At least 2 years of experience in administrative support or project management, preferably in an international context.
- SOFA status, access to US Military installations
- Drivers license and access to reliable transportation
- Strong organizational and time-management skills with the ability to handle multiple tasks and deadlines.
- Excellent written and verbal communication skills, with the ability to interact professionally with staff, volunteers, and external partners.
- Ability to work independently and as part of a team in a remote, fast-paced environment.
- Proficiency in Microsoft Office Suite and other relevant software.
- Knowledge of or experience with the Girl Scouts organization is a plus.
- A high level of cultural sensitivity and the ability to work with diverse, international teams.
This is an in-person position, candidate will be required to work in the Girl Scout office at Camp Zama's Sagamihara Family Housing Base
SALARY RANGE:
$40,000 - $50,000
This represents the present low and high end of the pay range for this position. Actual pay will vary based on various factors, including but not limited to experience.

POSITION TYPE / EXPECTED HOURS OF WORK:
This is a full-time position. Days and hours of work are Monday through Friday. Occasional evening and weekend work may be required as job duties demand.
