Position Summary
As a Clinical Trial Payment Specialist, you will be the financial cornerstone essential to the success of our clinical trials. In this role, you will efficiently manage the payment process to investigative sites, ensuring transparent financial operations that maintain the integrity of our clinical research programs. You will manage payments with both accuracy and timeliness within an international regulatory environment, building trusted relationships with our research partners.
Key Responsibilities
Payment Management
- Verify and collect supporting documents and approvals for site invoices
- Set up Subject Visit Templates (SVT) and Visit Cost Calculators in the Clinical Trial Management System (CTMS)
- Monitor payments owed to clinical investigative sites per negotiated unit prices in clinical trial agreements
- Manage invoice submissions in the financial system, ensuring proper routing for review and timely disbursement
Data Management & Reporting
- Update and maintain payment-related data in the clinical payments platform with precision
- Prepare and distribute program and study status reports
- Maintain and optimize systems to track payment progress
- Generate, format, and compile project-related data into comprehensive reports
Team Collaboration
- Collaborate with third-party payment vendors to resolve discrepancies and historical issues
- Perform site payment reconciliations in partnership with Clinical Operations Teams
- Assist in identifying and facilitating outreach to sites requiring payment clarifications
- Actively participate in various study meetings and contribute to team objectives
System Administration
- Support setup and access management for payment project systems
- Assist with creation of Purchase Requisitions and Purchase Order setup for investigative sites
- Coordinate and track project workflows
- Gather site-specific budget information and maintain budget intelligence tools
Required Qualifications
- Minimum of 2 years of applicable industry or administrative experience
- Working knowledge of clinical trial guidelines and applicable country regulations
- Proficiency in Microsoft Word, Excel, Smartsheet, PowerPoint, and Outlook
- Effective verbal and written communication skills in English and local language, if relevant
- Strong organizational and time management skills to handle multiple projects simultaneously
- Attention to detail and ability to complete work with high accuracy
- Problem-solving abilities and analytical thinking

プロジェクト管理: 臨床試験支払いチームの中核メンバーとして、複数のプロジェクトの財務的側面を調整
- 日本の医療機関や医療施設との支払い調整、日本の規制に準拠した処理
- 財務分析: 施設予算情報の分析と予算インテリジェンスツールの最適化を通じて、コスト効率の高い臨床試験運営に貢献
- システム最適化: 最新の臨床支払いプラットフォームを活用し、支払いプロセスの効率化と透明性向上に貢献
- クロスファンクショナルな協力: 内部チーム、外部ベンダー、医療施設との連携を通じて、グローバルなビジネススキルを磨く
- 問題解決: 支払いの不一致や課題を特定・解決し、臨床試験の円滑な進行をサポート
- データ分析とレポーティング: 重要な財務データの分析とインサイトの提供を通じて、意思決定プロセスに貢献
【求める知識・経験】
- 製薬・CRO業界での2年以上の経験
- 臨床試験を実施する上で必要なガイドラインや、日本の規制に関する実務的な理解
- 分析力と問題解決能力に優れ、複雑な状況でも正確な判断ができる方
- Microsoft Office(特にExcel、PowerPoint)とSmartsheetの高度な操作スキル
- 優れたコミュニケーション能力と、多様なステークホルダーとの効果的な連携能力
- 細部への注意力と同時に全体像を把握できる戦略的思考
- 変化の激しい環境での適応力と、複数のプロジェクトを同時に進める能力
- ビジネスレベルの日本語力および英語力
