Position Summary:
The person is responsible for driving efficient and compliant HR operational processes for all our Employees in Japan (Local recruits and Non-Japanese Nationals deputed from India or hired locally) The role will manage all aspects of the Hire to Retire Process including Onboarding, payroll, benefits administration, compliance and separation process.
The role requires the person to have a deep knowledge of the Japanese labor law, strong vendor management capabilities and a passion for delivering an industry benchmark employee experience for all Associates in Japan.
Key Responsibilities:
HR Operations Management
Lead day-to-day HR Operations for Japan, ensuring seamless HR service delivery across the employee lifecycle (Onboarding to Exit) for all Direct Recruits and Expats in the country
Ensure seamless Onboarding experience by coordinating with various functional teams and addressing all queries/concerns
Manage relationships with external partners including payroll and benefits and ensure strong governance
Ensure effective collaboration with internal stakeholders for processes impacting HR Operations and ensure alignment as per global standard process for the region (Central HR Operations, HR Business Partners, Finance, Admin and Global Mobility teams)
Maintain up-to-date HR documentation and process guidelines as per the local statutory and compliance requirement.
Manage employee records in alignment with Local Labor Laws and global data privacy requirements
Responsible for creating awareness on HR policies, processes and govern the SLA and CSAT for queries raised by employees and establish a communication strategy for the country
Drive automation and efficiency partnering with the Central team for implementation of projects.
Payroll, Benefits Administration & Compliance
Manage statutory contributions on Government Portals (social insurance, health insurance, pension) and ensure registration and registration for Defined Contribution/ Benefits/ SECOM/GTL etc
Liaise with Comp & Benefits, Finance and Tax teams to ensure HR policies, procedures and practices comply with Japanese Labor Laws and Company standard
Partner with Legal and Compliance teams to manage audits, compliance, statutory filings and government reporting as per company process
Monitor change in labor regulations and proactively recommend policy updates and manage employee communication
Qualification & Experience:
Bachelor's degree in human resources, Business Administration, or a related field.
5 to 8 years of HR Operations experience in Japan
Strong knowledge of Japanese labor laws, payroll, and employment practices.
Experience working in a multinational company in the Shared Services team
Proficiency in HRIS systems (SAP SuccessFactors, Concur) and MS Office.
Fluent in Japanese and business-level English (spoken and written).
Certified as Safety /Health Officer (preferable)
