Position: Data Processing Specialist
Location: Kadena Air Force Base - Kadena, Nakagami District, Okinawa
Shift: 7:30AM to 3:30 PM

Duties:

• The candidate receives telephone calls, greet visitors, ascertain the nature of the call or visit, direct clients to the appropriate program manager in the A&FRC, schedule clients for A&FRC classes, and provide complete and clear information that addresses most routine or procedural issues.

• Administers the timely and accurate input of congressionally mandated documentation for the Transition Assistance Program. Responsible for the accurate collection, input, inventory, maintenance and tracking of all forms within the Transition Assistance Program.

• In coordination with the TAP Core Compliance Expert, the contractor reviews the attendance register for transition assistance workshops, creates and disseminates pertinent information and inquiries to program participants for the collection and entry of data for statistical reports and transition workshop registration. Accurately inputs customer information into the Air Force Family Integrated Reporting and Statistical Tracking (AFFAIRST) system.

• Shall maintain the appearance of the Front Desk/TAP Resource Center. The Contractor will align chairs, keyboards, materials, publications, and resources on a daily basis. The Contractor shall report inoperable equipment to A&FRC management.

• Provide technical assistance to users of the TAP Resource Center, assisting in the operation of computer-based programs, as specified in requirements below, and other programs available to transitioning personnel. Serve as an initial point of contact for all transition-related software, hardware, and user problems to include network issues. If the contractor cannot resolve the problem, he/she should contact the Work Group Manager (WGM) for assistance.

• Ensure workstations and network software remains virus-free. Review and submit locally developed software to the WGM. Will not install or modify any equipment or software without prior approval from WGM. This includes any software downloaded from the World Wide Web (www) or vendor bulletin board systems (BBS).

• Maintain network integrity. Permits only authorized users to access the A&FRC Customer Wi-Fi and Internet Service Provider (ISP) accounts.

• Maintain system documentation (maintains memory and application configuration; maintains network schema, checklists, and systems operations logbook.

• Control communication access to the wide-area network. Perform routine system maintenance and weekly system backups.

• Ensure maintenance of accountability statistics on resources used by clients; develop charts, logs, and statistical summaries as directed by the A&FRC management.

• Ensure all clients completely fill out the sign-in log and generate a monthly client usage report in the format established by A&FRC management not later than the fifth working day of the next month.

• Maintain computer security at all times to include the following: a) TAP Resource Center clients only access authorized programs using the main menu. b) Access on-line programs under the direct supervision of the contractor or TAP. c) Document /report all computer software/hardware malfunctions or abuse to the WGM.

Minimum/General Experience: Data Specialist

• Must be proficient in applying and troubleshooting Microsoft Office Suite applications to include MS Windows, MS Word, MS Excel, MS PowerPoint and must quickly become proficient on other available resource software in order to maintain integrated reports using Microsoft Word with Excel spreadsheets and data analysis.

• Basic communication skills appropriate in the professional environment of the A&FRC. Therefore, a minimum of 12 college credit hours in social work or social services is required; or a minimum of one-year experience working in an Air Force A&FRC or a similar helping service agency environment will be a suitable substitute.

• Basic understanding of military protocol, support group organizations, understanding of family systems in a military setting, ability to communicate and work effectively with diverse groups.

• Speak, write, and understand the English language fluently. Provide a certificate to confirm the English proficiency level.

• Gain competency of duties within 30 calendar days.

• The contractor shall dress in appropriate business attire while in the performance. Inappropriate attire includes but is not limited to jeans, leggings, sweats, skirts shorter than 2" above the knee, exposed midriff, spaghetti straps, sheer clothing, low cut tops, shorts, flip flops, and thong style footwear, slippers, sleepwear, bib overalls, short shorts, tops with potentially offensive words, terms, logo's, pictures, cartoons or slogans, halter tops, tops with bare shoulders, t-shirts unless worn under another blouse. Jewelry should be in good taste with limited visible body piercings. Make-up, cologne, and perfume should be in good taste and not overpowering. Many customers are allergic to the chemicals in perfumes and make-up so these substances should be worn with restraint. Hats are not appropriate attire however headcovers that are required for religious purposes or to honor cultural tradition are allowed.
