Management

  • Conduct the training including emergency situations to meet MS requirements.
  • Conduct regular operational meeting to discuss projects, tasks status update, workload and resources.
  • Prepare monthly management reports to MS regarding activity summary, performance level, energy data, PPM, innovation and incident.
  • Provide all necessary financial data to assist MS in planning annual budgets.

    • Administration

  • Maintain all paper and electronic documents in line with MS filing structure guideline and conduct random quality checks.
  • Maintain master register of all contact lists including emergency contact lists, master vendors contact lists and critical vendors contact list and conduct random checks.
  • Maintain a register of all MS standards documentation.
  • Maintain financial process all service vendor and contactor invoices and payment.

    • Maintenance Contract Management

  • Maintain an updated register of all maintenance contracts.
  • Perform maintenance contractors / vendors review and selection for new contracts and contracts renewal.

    • Routine Maintenance

  • Manage daily site walk to check the electrical and mechanical systems in Comms room, Comms closet, trading floors, office areas and plan room.
  • Manage weekly visual check on the architectural and building services installations.
  • Plan, schedule, organize and supervise the execution of repair and modification work identified from the regular daily and weekly systems checks.
  • Record all changes to the as-built drawings and documentations.
  • Report electricity consumption, HVAC consumption and critical temperature trending.

    • Preventive and Ad-hoc Maintenance Management

  • Plan and coordinate with various maintenance contractors to carry out the preventive maintenance works.
  • Prepare reports of the maintenance works.
  • Record all administration of all maintenance records.
  • Maintain and update all Operation & Manual and as-fitted drawing.
  • Manage site access to MS site and certain critical areas in accordance with MS regulations.
  • Manage all necessary standard tools and equipment and calibrate all necessary tools and equipment.

    • Energy and Environmental Management

  • Manage documents required by relevant authorities.
  • Plan and execute energy saving measures and other environmental measures.

    • Building Operations within MS Premises

  • Manage highest standards of building services.
  • Manage and ensure all operational staff and contact staff adheres to MS working practices, government regulations and code of practices of related institutions.
  • Define and coordinate BCP action plan procedures and documentation for CS division. Manage and implement all BCP recovery procedures.
  • Manage all Operation & Maintenance Manuals.
  • Maintain all working area and plant room areas are clean and tidy especially after any maintenance or repair work.

    • Comms Room and Comms Closet Operations

  • Assess and review all IT equipment Move, ADD and Change works prior to the works.
  • Manage the notices and escalation charts.

    • Testing & Commissioning and Handover Support

  • Assist in testing and commissioning by attending the testing and commissioning of building service systems.

    • Emergency Call Out and Rectification Services

  • Maintain a register of all emergency call out incidents.
  • 24hrs emergency call out coverage service to attend to any crisis to MS site.
  • Emergency recovery: Upon receipt of the alarm or request, identify and contact the appropriate maintenance contractor to rectify the fault and resume normal operation.

    • Data Cabling

  • Manage and maintain structured data cabling systems in accordance with Morgan Stanley guidelines and local compliance requirements
  • Manage the cabling vendor to meet Morgan Stanley requirements that are as follows
  • Cable Patching, including the required testing procedures in line with Morgan Stanley testing guidelines
  • Ensure that the cabling infrastructure and patching is maintained in a well-ordered and concise manner
  • Management and co-ordination of any Morgan Stanley Data Infrastructure Sub-Contractors as required
  • Labelling of all data cables and patch cords in accordance as per Morgan Stanley guidelines
  • Management and continuous improvement of the information contained within the structured cabling management software systems
  • Submission of any required documentation to the appropriate structured cabling system manufacturers for establishment and/or updating of the system performance warranty offered by the said manufacturers
  • Ensure compliance with statutory regulations on health and safety regulations.

    • Health and Safety

  • Ensure compliance with statutory regulations on health and safety regulations.
  • Ensure all safety procedures including Emergency Operation Procedures.
  • Maintain a register of all emergency call out incidents.
  • 24hrs emergency call out coverage service to attend to any crisis to MS site.

    • Design Support

  • Shop drawings/as-built drawings review submitted from Project Team and/or General Contractors on ad-hoc basis
  • Attending Project Calls/Meetings and working as a team with other internal/external Project related team members

    • JLL Management

  • Communicate with regional team to standardize JLL operation, meet MS requirements and solve issues.

    • Manage the issues at OPS aide conducted by JLL EOS.
