Order Intake Coordinator

Your main responsibilities are

  • Handling the order coordination, shipping, and export documentation for spare parts ordered by customers through either Wartsila Global Network Sales or Wartsila Japan Sales.
  • By utilizing communication skills/ Leadtime management/problem solving / customer service/ knowledge of international logistics and export operations and managing inventory management/ delivery and export arrangements/ logistic optimization / progress management/ data analysis / legal compliance, to improve the operational efficiency and customer satisfaction.
  • Specific Job Responsibilities:

  • Coordinate customer inquiries, quotations, orders, export operations, and claims based on target processes and KPIs.
  • Follow up sales activities proactively and build valuable relationships with customers and relevant departments to provide valuable input to the factory and sales team.
  • Track order progress, compare with schedules, collect progress reports, and identify causes of delays.
  • Resolve claims, analyze, identify cause, and implement recurrence prevention measures.
  • Manage inventory, arrange delivery, and prepare and maintain trade documents.
  • Propose and implement continuous improvement of logistics processes and cost reduction.
  • Provide logistics and export support for logistic utilizing SAP experience.
  • Promote CX optimization and continuous improvement and optimize operation process.
  • You will shine in this role when you have:

  • Practical experience of export operations in logistics industry at least 3 years.
  • Effective communication and problem-solving skills with clients and stakeholders, decision-making and influence.
  • Experience in expediting process and progress management (preferably with project management and lead time management experience.).
  • Project management experience and strategic planning skills.
  • Skill in setting priorities, time management.
  • Business insight and gaining acquire industry knowledge
  • Drive innovation and adapt to change
  • Strong communication skills in Japanese.
  • Strong communication skills in English.
  • PC skills (Basic functions in Excel, data entry and modification in Word, table insertion).

  • Experience in projects and overseas sourcing in a multinational company.
  • (Machinery manufacturing industry)
  • Knowledge of trade and export customs clearance.
  • Experience in the marine industry.
  • SAP experience
  • Team leadership experience and people development skills
  • Education:

  • Bachelor's degree or higher.
  • Products handled: Seals, Bearings
