Job Summary:

This is a dynamic and challenging role that requires a highly organized and results-driven individual to manage site operations, engineering management, general accountability, vendor management, health & safety management, financial management, and administration. The ideal candidate will have excellent communication and problem-solving skills, with the ability to work effectively in a fast-paced environment.

Key Responsibilities:

  • Site Operations Management:
    • Helpdesk operation by using ticket system
    • Respond and assist with requests from users
    • Consolidate information & generate reports, communications & documents as required by management.
    • Assist in the implementation of Industry Best Practice operations
    • Conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times
    • Drive key initiatives for process improvements and drive efficiencies.
    • Plan, support and participate to Facilities organised events
    • To be a POC of the site and manage/maintain good relationships with BM companies.
    • All other tasks and duties as assigned
    • 24/7 emergency call support and site attendance is required
    • Engineering Management:
      • To follow the agreed service delivery as indicated in the Site Field Manual for Engineering Services.
      • Proactively develop & manage key strategies to minimize & control energy consumption across the designated building/portfolio.
      • Proactively manage the planned & reactive fabric repairs & maintenance to maintain the property / workplace to agreed standards.
      • Monitor & manage the operational & statutory compliance of all fire & life safety systems through the third-party service providers.
      • General Accountability:
        • Monitor & manage the operational & statutory maintenance of all building electrical systems through the third-party service providers.
        • Monitor & manage the planned preventative maintenance regime for all mechanical systems through the third-party service providers.
        • Monitor & manage the contractor induction program for the allocated building / portfolio to ensure compliance with agreed process.
        • Manage all regular / irregular service provider JSAs to ensure compliance with agreed processes.
        • Manage building asset registers to maintain an accurate database.
        • Support project resources by taking ownership of post PC defects monitoring & rectification in line with agreed scope.
        • Management of Minor works projects in line with the agreed project filter.
        • Provide all relevant mentoring support to the Facilities Manager for other sites.
        • Vendor Management:
          • Responsible for periodic assessments on vendors and feedback and coaching on issues.
          • Expected to work with vendors on quality of services and embrace continuous improvement of services
          • Manage service contracts, including inspections and quality management of service delivery
          • Prepare tender documentation, evaluation of tenders; prepare contracts
          • Management of contract resources to achieve Service Level Agreements to Key Performance Indicators at optimum cost for Client.
          • Health & Safety Management:
            • Implement and manage safety procedures to ensure the provision of a safe working environment
            • Ensure compliance with statutory regulations on fire, health and safety standards
            • Financial Management:
              • Compilation of appropriate financial commitment data to support the annual property budget process.
              • Completion of monthly accrual & forecast information to support the month-end financial processes
              • Administration:
                • Assistance with the preparation and presentation of monthly client dashboard reports
                • Excellent record keeping ensures that all capital works have received the landlords written approval inclusive of all handover and DLP processes are completed.

              Location: On-site –Tokyo, Japan

              Salary: Estimated salary range: ¥6,000,000 - ¥8,000,000 per annum.
