What you will do. A glimpse in your role:

The People Operations & Finance Associate will provide comprehensive Human Resources administration and finance support for the Refund Operations function in Japan. Additionally, the role may assist with administrative needs for other APAC offices as required.

Working closely with the Talent Acquisition Specialist for Refunding Dept., this role will be fully responsible for the HR and finance operations related to the Refund Operations business unit based in Japan. The Associate will collaborate daily with the Head of Refund Operations, Counter Managers, and team members to ensure smooth and efficient operations. At month-end, the role will coordinate with the Finance team to ensure accurate reporting of refund operations personnel costs.

Your responsibilities include:

  • Act as the first point of contact for all HR and Finance related queries

  • Manage onboarding processes, ensuring completion of all required documentation and registrations with local government agencies

  • Administer HR documentation, including employment contracts, confirmation letters, promotion letters, probation extensions, visa applications, and certifications

  • Maintain and update employee personnel files (P-files)

  • Accurately input and update employee data in Workday (HR Information System) in a timely manner

  • Prepare requisitions and conduct onboarding activities for new hires

  • Ensure timely and accurate payroll processing by liaising closely with the payroll provider, with a particular focus on Haken (part-time) employees

  • Stay updated on changes in local labour regulations to ensure compliance

  • Prepare and maintain ad hoc reports and respond to queries as needed

  • Draft and distribute routine written correspondence related to HR matters

  • Manage specific projects outlined in the annual HR operational plan and participate in functional and cross-functional initiatives

  • Maintain administrative forms, manuals, and vendor/service provider contacts

  • Regularly update service contracts to ensure accuracy

  • Ensure timely and accurate monthly reporting of personnel costs to Finance

  • Perform other administrative duties as assigned

Key competencies to empower your journey. You'll drive towards success if you have:

  • Diploma in Human Resources, Administration, or a related field, with a minimum of 2 years' experience in HR & Finance administration

  • Experience with payroll processing is essential, particularly handling payroll for Haken (part-time) employees

  • Experience working in an international or multicultural environment is a plus

  • Proficiency in IT, especially Microsoft Office applications

  • Familiarity with HRIS systems is an advantage
