The ideal candidate will assist with various accounting functions, including managing financial records, expense reports, and ensuring compliance with local regulations, tax filing, billing and other related duties.
The ideal candidate should have a degree in accounting or finance, basic understanding of accounting principles and practices, proficiency in accounting software and be proficient in written and spoken English and Japanese.
Accounting Tasks:
Inputs vendor invoices in Chrome River
Checks on employee expense reports being attached with supporting receipts and documents and ensure correctness, accuracy and compliance with firm policies
Checks on vendor payment vouchers being attached with supporting documents and ensure correctness and accuracy
Prepares and processes accounting entries into the accounting system
Verifies bank account details with local/overseas vendors or payees
Bank reconciliation with bank statement against general ledger
Daily banking operations
Assists in annual budget preparation
Assist in monthly payroll process Assisting in annual budget preparation and ongoing analysis and budget reporting to regional stakeholders
Assist in Tax filing/reporting, reconciliation and payment
Billing Tasks:
Provide billing printouts to partners and associates for fee updates and invoicing, ensure
accuracy and in compliance with firm's billing arrangement
Prepare draft bills for partners, ensure accurate billing, adhere to client-specific requirements and in compliance with tax requirements
Provide billing materials to partners for matters with regular billing frequency
Ensure billing on schedule
Monitor and coordinate with partners to ensure timely deliver on finalized bills. Assist with obtaining info for collection projections when required
Updating diary entries to reallocate to correct matters / comply with client's requirements
Maintain billing documentations and filing on system, ensure accuracy and adequate
approvals for all discounts and write offs
Monitor payment status for client-paid vendor invoices
Personality, skills and experience:
Proficient in written and spoken English and Japanese
Proficiency in MS Office Suite (Word, Excel, Power point)
Strong team player with excellent communication
Strong attention to detail and highly organized
Discretion when dealing with sensitive/confidential work information
Ability to work to strict time constraints and meet deadlines
Ability to prioritize work
Pleasant, confident, approachable, proactive, organized and professional
Flexibility to work varied hours as needed
